Terms & Conditions

These Terms and Conditions govern participation in the trainings, courses and learning formats offered by Collective Transitions. Transparency and honesty are among our core values — including in how we handle registrations, costs, and withdrawal. These Terms are meant to give you, as a participant, clarity and confidence, while allowing us, as a small, community-carried association, to plan and run our trainings reliably.

1. Scope

These Terms and Conditions apply to all registrations for trainings, courses, modules, and other paid learning offerings (referred to as “Trainings”) provided by Collective Transitions, an association (Verein) based in Muttenz, Basel-Landschaft, Switzerland (referred to as “Collective Transitions” or “we”). They apply in particular to the Foundation Trainings, Advanced I and II, and Modular Offerings. For in-house trainings, mandates, and coaching engagements with organisations, individually agreed terms apply.

2. Registration and Formation of Contract

  • Registration takes place via the online registration form on our website.

  • By submitting the form, you make a binding offer to participate and confirm that you have read and accepted these Terms and Conditions.

  • As spaces on each training are limited, your place is only considered reserved once we have sent you a written confirmation of registration by email, and only definitively secured once payment (or the agreed deposit, see Section 3) has been received.

  • We reserve the right to decline a registration (for example, if a training is fully booked). In this case, we will inform you promptly and refund any payments already made in full.

3. Fees, Payment Terms, and Sliding-Scale Model

Many of our trainings offer a tiered, sliding-scale pricing structure — an expression of our commitment to inclusivity. You choose the tier that best reflects your financial situation, in a spirit of self-responsibility and mutual honesty within the community.

  • The course fee is due as stated on the invoice, and at the latest 30 days before the training start date, unless otherwise indicated in the registration confirmation.

  • Additional costs for accommodation and meals at the training venue are listed separately and, unless stated otherwise, are due together with the course fee.

  • For multi-module or multi-year formats (e.g. Advanced I and II), instalment payments can be arranged: a deposit upon registration, with the remaining amounts due before each respective module.

  • If the course fee stands in the way of your participation, please get in touch with us — in keeping with our commitment to inclusivity, we will review whether a supported place (Supported Access) is possible.

4. Withdrawal by Participants

A withdrawal must be submitted in writing (email is sufficient). The date of receipt by Collective Transitions is decisive. The following deadlines and cost consequences apply, counted from the first day of the training:

Timing withdrawal: Up to 30 days before the training starts

Cost consequence: A processing fee of CHF 50 is charged in every case

Timing withdrawal: 29 to 14 days before the training starts

Cost consequence: 50% of the course fee is due

Timing withdrawal: Less than 14 days before the training starts

Cost consequence: 100% of the course fee is due

Timing withdrawal: No-show without prior withdrawal

Cost consequence: 100% of the course fee is due

  • If you need to withdraw from the training, you may arrange for another person to take your place at no additional cost, provided they meet any applicable participation requirements. Please let us know in advance by email.

  • Accommodation and meal costs already paid will be refunded as far as possible, to the extent we have not already made binding commitments to third parties (e.g. the venue, catering).

  • In cases of particular hardship (e.g. illness, bereavement, unforeseeable emergencies), we will review a goodwill solution on request and in line with our values; supporting evidence may be requested. We recommend that all participants take out cancellation insurance.

4.1 Interruption of Multi-Module Trainings

For trainings delivered in several modules over an extended period (e.g. Advanced I, delivered as four modules over one year), fees for modules already completed are non-refundable, as the corresponding service has already been delivered. For any remaining, not-yet-attended modules, the following applies:

Please also refer to Section 7, “Confidentiality and Respectful Conduct,” for provisions and exceptions that may apply in relation to interruption or discontinuation of participation.

Reason for interruption: Withdrawal by the participant (general).

Cost consequence for remaining modules: The withdrawal fees under the table above apply to each remaining module, calculated from that module's own start date.

Reason for interruption: Withdrawal by the participant for documented health reasons.

Cost consequence for remaining modules: Where possible, we offer a place in the corresponding module of a later cohort instead; if this is not possible or not desired, the fee schedule above applies.

Reason for interruption: Discontinuation initiated by Collective Transitions (e.g. where we determine, after careful consideration, that continued participation is not suitable for the participant or for the group).

Cost consequence for remaining modules: Fees for the remaining, not-yet-attended modules are refunded in full.

Such decisions are made with care and, wherever possible, only after a personal conversation with the participant concerned.

5. Cancellation or Postponement by Collective Transitions

We reserve the right to cancel or postpone a training if the minimum number of participants is not reached, if the training lead is unable to attend, or for other important reasons (e.g. force majeure).

  • In the event of a cancellation, we will refund any payments already made in full, or, at the participant's choice, offer a credit toward a future training.

  • If a training date is postponed, you may withdraw free of charge if the new date does not work for you.

  • We accept no liability for costs incurred by participants in connection with a cancellation or postponement (e.g. third-party travel or accommodation costs). We recommend taking out appropriate travel or cancellation insurance.

6. Participation Requirements and Personal Responsibility

Our trainings work with embodied, systemic, and at times intensive methods (including Systemic Constellations and Systems Sensing). This work can bring up strong emotions and unexpected inner processes — we are aware of the scope and weight of individual and collective trauma, and we design our spaces with this in mind.

  • Participation is at your own responsibility. You are responsible for taking good care of yourself during and between course sessions.

  • If you have health-related or psychological circumstances that may be relevant to the training lead, we welcome a confidential note before the training begins — this is not required.

  • Our trainings are not a substitute for medical, psychotherapeutic, or psychiatric treatment. If you have an existing support need, we recommend consulting an appropriate professional beforehand.

7. Confidentiality and Respectful Conduct

Personal experiences are often shared within our trainings. We ask all participants to treat everything that  is shared as confidential and not to pass it on outside the group without the consent of the person/s concerned.

  • We cultivate an inclusive, gender-sensitive, and discrimination-aware culture, and take an internationally oriented, postcolonially critical stance.

  • Disrespectful, discriminatory, or boundary-violating behaviour toward other participants or the training lead may result in exclusion from the training, without entitlement to a refund of the course fee.

  • Because the quality of the training space depends on the contributions of all participants, we ask everyone to hold the wellbeing of the wider group in mind. Where significant disruptions arise, facilitators will seek to address these through conversation and support. In rare circumstances, where a participant is unable or unwilling to engage in ways that allow the group learning environment to function well, Collective Transitions reserves the right to withdraw a participant's place in order to protect the integrity of the learning space for the whole group, without entitlement to a refund of the course fee.

8. Photographs and Recordings

Photographs or video recordings may be taken during our trainings and used for Collective Transitions' communications (website, social media, brochures). If you would prefer not to be pictured, please let us know before the training begins — we will take this into account when taking images.

9. Data Protection

We process your personal data exclusively for the organisation, delivery, and billing of the training, and for communicating with you, in accordance with the Swiss Federal Act on Data Protection (FADP). Your data will not be shared with third parties without your consent. For details, please see our privacy policy.

10. Intellectual Property

Course materials, curricula, and documents are intended for participants' personal use. Sharing, reproduction, or commercial use is not permitted without our prior express consent, and always requires clear attribution of the source.

11. Transparency Note: Association Status and Charitable Status

Collective Transitions is an association (Verein) under Art. 60 ff. of the Swiss Civil Code (ZGB) — the legal form for non-profit associations in Switzerland — based in Muttenz, Basel-Landschaft, Switzerland. We have not yet been granted tax-exempt charitable status (Gemeinnützigkeit) by the Canton of Basel-Landschaft. Course fees and any donations therefore cannot currently be certified as tax-deductible. We will communicate transparently should this change.

12. Liability

We are liable within the framework of statutory provisions for damages caused by our intent or gross negligence. To the extent permitted by law, we accept no liability for slight negligence, for personal belongings brought by participants, or for indirect or consequential damages (e.g. lost travel costs).

Participants are liable for any damage they cause to the training venue, its furnishings, or equipment through intent or negligence. Such damage is to be settled directly between the participant concerned and the venue or Collective Transitions, as applicable, and is not covered by our liability under the previous paragraph.

13. Applicable Law and Jurisdiction

Swiss law applies for in-person/in-place and online trainings. The place of jurisdiction is the registered seat of Collective Transitions in Basel-Landschaft, Switzerland, unless mandatory statutory provisions or agreements with partner institutions state otherwise.

14. Final Provisions

  • We reserve the right to amend these Terms and Conditions. The version published on our website at the time of registration is decisive.

  • Should any provision of these Terms be invalid, the validity of the remaining provisions shall not be affected.
